WEDDING DAY PLANNING & COORDINATION SERVICES

 Along with the fresh and beautiful floral arranging Sweet Blossom Designs is known for, we offers our wedding clients our Wedding Day Planning and Coordination services. With over 25 years of planning, designing and directing weddings, we believe we can execute our clients entire vision for their Wedding Day. And can promise that at the end of the day you and your guests will have experienced a day full of love, joy and beauty. We offer 3 unique plans to accommodate the level of support you would like leading up to your Wedding Day. Sweetly Simple: Wedding Day Management (30 day count down)

While the planning process of your Wedding Day starts at the  I DO, once all your vendors are booked, we consider the month before your Wedding Day to be crucial to the perfect execution of your day.   The services listed below are the necessary steps of a beautifully orchestrated Wedding Day, whether it be an Elopement, Micro Wedding or a gathering of 200 or more.  We offer this Coordination Package to ensure you are getting all the bases you need covered on your Wedding Day. THE MONTH AND TWO WEEKS BEFORE YOUR WEDDING: 

This crucial time is where we pull all your hard work together to make sure that everything has been addressed and decided upon, so that the week of your wedding you can just focus on enjoying your day, your family & friends and of course each other! 

Our Management Services include the following…

  • Available via phone/text and email during your engagement period, to answer all your  questions or address any requests you might have.

  • 3 face-to-face meetings with your coordinator geared towards timeline planning of day of Wedding  events, site walk thru, and final meeting to confirm all details.

  • Assistance in vendor relationships for all vendors. This includes looking over contracts, banquet event orders, communication and revisions. 

  • Storage of wedding-related items prior to wedding day including but not limited to candles, custom pieces, vases or other floral containers, programs, menus or other paper items and favors for up to 15 days prior to wedding day. 

  • Finalize your Guest Counts, Table Numbers, Layouts and Seating Charts.

  • Customized  to your day a detailed Wedding Day Timeline which is distributed to each vendor either at final consultation meeting or via email two weeks prior to the event. This  includes arrival times, responsibilities, unloading & loading procedures, insurance requirements,  vendor meals etc... 

  • Customized personal Timeline made for your Bridal Party and Family detailing out not only the flow of the day 

[As oriented to their needs] but also the day[s] and activities prior to the wedding [e.g. rehearsal, day after brunch, rehearsal dinner, any group appointments like manicure/pedicure or hair, etc]. This will be sent to the Bridal Party  via email the week prior to the wedding and also, upon request, handed out to the wedding party at the rehearsal.

  • 7 Day Details Deadline: Make sure that all outstanding details and remaining questions are addressed and dealt with, including final payments, schedules, wedding attire, any last minute guest count changes etc... 

THE DAY BEFORE YOUR WEDDING: 

We will coordinate and run the wedding rehearsal including direction of friends, family and wedding party to ensure all people involved understand their roles [as previously discussed with the clients and officiant]. This usually takes 30 to 40 minutes and will be scheduled with your venue.

Communication with Officiant and Musicians and possible sound check if needed.  Communication with the venue coordinator to finalize any last minute details and/or drop off any items, payments or gratuities required for the next day. Assist in any Rehearsal Dinner details. Make sure all Wedding Party and Family are safely checked into their night before accommodations. {Ask us about designing flowers for your Rehearsal Dinner too!}

THE DAY OF YOUR WEDDING: Yay!

We provide no less than two experienced coordinators for the execution and set-up of the wedding and reception to ensure that Sweet Blossom Designs is equipped to meet the needs of the client in every way. [One Lead, One Assistant Lead] and up to four coordinators may be provided for parties of 250+ wedding guests. (As well as the SBD Design Team.) 

  • Greet all your vendors and oversee the proper set-up of ceremony and reception, ensuring that your requests have been fulfilled to their fullest extent. 

  • Full-service Coordination of your Ceremony and Reception with 10-hour limit on Sweet Blossom Design Services. 

  • Wedding Day Director for all family, guests, vendors, and wedding party. 

  • Oversee set up of Guestbook or alternative, Gifts and Cards. Ensure safety of Gifts and Cards and Guest Book through out the event.

  • Accurately ensure all seating plans & arrangements are executed properly [favors, escort cards, table numbers, menus etc]. 

  • Cue Ceremony: Includes lining up and coordinating the wedding party, seating of parents, ushering guests, music timing, and all other elements (Communion, Unity Ceremony etc…) of the ceremony.

  • Reception: Coordinate Cocktail Hour, bustle Wedding Dress if needed, Grand Entrance, oversee Reception Timeline with DJ or live music, oversee Cake Cutting or Desserts, Bouquet, Garter Toss and any other reception events.

  • Distribute any final payments and gratuities as needed to vendors and other service providers on the event date. 

  • Keep track of Wedding Rings and Marriage License, arrange for time with Officiant and Witnesses to sign. 

  • Keep all activities scheduled per timeline [including set-up, ceremony, and reception as best as possible]. 

  • Box-up and deliver all personal items [toasting glasses, gifts, flowers, extra cake or desserts, serving set, veil, makeup, etc] to their respective places [hotel room, car, mother's car, etc]. 

  • All services include the quality, integrity and commitment to serve you, your guests and vendors that Sweet Blossom Designs is known for. No request is too minimal to address and the Sweet Blossom team is committed to the stress-free success of each event we are a part of. 



FLORAL AND DESIGN SERVICES PROVIDED with separate investment

  • Consultation services regarding flowers, linens, lighting and other Wedding Day décor. Service includes input and advice on all aspects of design/concept for your wedding/event. 

  • Two face-to-face meetings with your designer geared towards your wedding décor and design.
    [Design presentation or idea meeting, a venue walk thru and layout meeting, or detail selection and design wrap meeting]. 

  • Custom tabletop design trial (Mock Up), with possible additional fee for floral design. This will include sampling of rentals and other items if possible [linens, décor to give you a realistic feel of the décor proposed for the wedding. Typically scheduled about 1 month prior to the wedding date. 

  • All Florals designed for your wedding, including Personals, Ceremony and Reception and other decor items included.


INVESTMENT FOR OUR SIMPLE & SWEET WEDDING DAY MANAGEMENT

WITH A Floral Design Booking,  Coordination Fees start at $15.00 per guest with a $1000 minimum for all services listed above. $300 deposit/retainer to book the date.(Final Guest Count due 20 days before Wedding Date and based on final Catering Numbers) 

WITHOUT A Floral Design Booking, Coordination Fees starting at $18.00 per guest with $1200 minimum for the services listed above) and a $400 deposit to book the date.  (Final Guest Count due 20 days before Wedding Date and based on final Catering Numbers) 

  • Final Payment is due 20 Days before Wedding  (Cash, Venmo, Zelle, Check, and PayPal accepted)

  • Floral Design Budget Proposal, Deposit, Delivery, Set Up and Break Down Fee, Taxes and Contract is provided and invoiced separately. 

  • Travel Fees (Hotel and Gas) outside of LA/Orange County and some San Diego areas  and some additional services are not included.

  • See SBD Additional Wedding Services Form for additional things we can provide. Additional hours needed for extra planning or staff is  billed at $50 an hour.

  • Full Wedding Planning, Coordination  and Design Packages are available if you would like a more in depth planning process.

  • We have References available from Venues, Vendors,  Brides, Grooms and Moms =) if needed!


ELOPEMENTS, INTIMATE, MICRO  AND BACKYARD WEDDINGS

While the number of in person guests may have changed, the importance of your Wedding Day has not.  Backyard Weddings, Micro and Intimate Weddings are an increasingly popular option, but you can quickly find yourself in the role of venue/event planner.  We are adept at scaling our services to create an intimate experience that rivals a high end venue and will work before and during your big day to seamlessly coordinate the many vendors you’ll need to bring the Wedding Experience home or to a smaller location. Our effort remains the same to ensure that your Wedding Day is as stress free as possible, allowing you to enjoy each and every minute of the day.  Pricing starts at $850 for up to 45 people with a Floral Contract and $1000 for up to 45 people without a Floral Contract (extra per person charges may apply for over 45 guests). This includes all our services mentioned above.
