WEDDING DAY PLANNING & COORDINATION SERVICES

 Along with the fresh and beautiful floral arranging Sweet Blossom Designs is known for, we offers our wedding clients our Wedding Day Planning and Coordination services. With over 25 years of planning, designing and directing weddings, we believe we can execute our clients entire vision for their Wedding Day. And can promise that at the end of the day you and your guests will have experienced a day full of love, joy and beauty. We offer 3 unique plans to accommodate the level of support you would like leading up to your Wedding Day.

Wedding Day Management and Full Planning Services

Our Wedding Planner package  offers complete Planning,Coordination and Design services for the Couple who wants guidance through the entire Wedding Day planning process, full design production, hand-picked vendors, unlimited guidance and management of the details,  pulling it all together and then oversee their entire day, so they can enjoy a day with Family, Friends, full of  Love, Joy and Beauty.

This includes 2 Coordinators, an Assistant and full Sweet Blossom Design Team with 12 Hour Day of Wedding coverage. Also included is all services listed in Plan, Coordinate & Design ONE.

PLANNING:

  • Ongoing support from Sweet Blossom Designs for all Wedding Day advice and guidance with unlimited access via text email and phone.

  • Work with Clients to develop their wedding style and work alongside the florist to design the décor for their Wedding.

  • Work with Clients to develop and prioritize their wedding budget.

  • Work with your Venue, Rentals and Floral and Event Design Team to execute a table mockup including centerpiece.

  • Rental recommendations and placing orders for clients if needed. This includes Linens, Lighting, Dance Floor, Lounge Furniture, Draping, Specialized China, Glassware, Flatware, Trees, Props, etc. and offer upgrade choices if needed.

  • Provide vendor referrals to the Client with their style and budget in mind. (Photographers, Videographers, DJs, Bands, Stationers, CateresBakery, Transportation, Officiants, Hair and Make-up Artists, Dresses,  Tuxedos, etc.)

  • Look over any vendor proposals and contracts and note any possible changes needed.

  • Review proofs for Save the Date Cards, Invitations and any other Stationary items

  • Provide ideas and suggestions on wedding favors or other fun guest surprises.

  • Go with Client to menu selection/ banquet set up meeting with Catering Manager

  • Schedule and attend meetings with the following service providers based on Client’s needs: Caterer, Hotel/Venue, Florist, Photography, Videography, Specialty Linens, Custom Invitations, Ceremony Musicians, Disc Jockey/ Band, Lighting, Wedding Cakes, etc…

  • Source out wedding favors, and prepare gifts and welcome totes

  • Research Hotel Accommodation options & Contract Group Room Blocks


EXECUTION:

  • During the month/30 days prior to Wedding Date, schedule three meetings with the Client to cover the following:

    • Review all vendor contracts provided by Client & produce a minute-by-minute timeline of the Wedding Day.

    • Final detail meeting with client, meet at venue if needed.

    • Drop off any items (décor, seating chart, programs, guest book etc…) 1 week prior to Wedding Date

  • Unlimited emails and phone calls/texts during the planning process.

  • Review all the vendor contracts signed and executed by Client (provide 30 days before wedding)

  • Review and proof BEO (Banquet Event Order) provided by Catering Manager (provide 14 days before)

  • Contact all Vendors for arrival and end times, including strike time.

  • Communicate Venue’s Policies and Procedures for unloading, set up and tear down.

  • Confirm all Vendor orders and quantities on rental Items.

  • Provide client with marriage license information if needed.

  • Distribute Client- approved timeline to all vendors at least 2 week before wedding date

  • Oversee and assist Officiant  at Ceremony Rehearsal (30 to 60min) with Bridal Party and Family (90 minutes max).

  • Communicate with DJ/Musicians on Ceremony song selections and cueing Wedding Party for Processional.

  • Communicate with and direct catering/serving staff regarding set ups and compliance of floor plans and seating arrangements.

  • Greet all Vendor arrivals and facilitate any needs they might have.

  • Be present for any Sound Checks with DJ/Musicians and review timeline and song selection for each event (Grand Entrance, First Dance, Speeches, Cake Cutting, Bouquet and Garter Toss etc....

  • Direct Ushers with Ceremony seating designations and reserved seats etc… and program distribution.

  • Direct and assist with set up of seating cards, menu cards, table numbers, favors, sign-in guest book, etc…

  • Oversee Wedding Day minute by minute timeline, including all events (Dances, Toasts, Cake Cutting etc..).

  • Handle final payments and gratuities to vendors

  • Pack up all Wedding Items, Décor, Gifts and Cards, left-over Food and Desserts to be taken home by appointed person.

  • Throughout the Rehearsal, Wedding Day and beyond serve, oversee and protect our Clients, their family & Guests, and all Vendors to ensure a safe, stress free and successful Wedding Day.

INVESTMENT

WITH A Floral Design Booking Coordination Fees start at $30.00 per guest with a $2500  minimum for services listed above. $500 deposit/retainer to book the date. 

WITHOUT A Floral Design Booking Coordination Fees starting at $35 per guest with $3000 minimum for the services listed above) and a $500 deposit to book the date.  (Final Guest Count due 20 days before Wedding Date and based on final Catering Numbers) 

  • Final Payment is due 20 Days before Wedding  (Cash, Venmo, Zelle, Check, and PayPal accepted)

  • Floral Design Budget Proposal, Deposit, Delivery, Set Up and Break Down Fee, Taxes and Contract is provided separately. 

  • Travel Fees (Hotel and Gas) outside of LA/Orange County and some San Diego areas  and some additional services are not included, but only one fee will be added for both Coordination and Floral Design depending on staff needed.

  • See SBD Additional Wedding Services Form for additional things we can provide. Additional hours needed for extra planning or staff is  billed at $50 an hour.

  • We have References available from Venues, Vendors,  Brides, Grooms and Moms =) if needed!

ELOPEMENTS, INTIMATE. MICRO  AND BACKYARD WEDDINGS

While the number of in person guests may have changed, the importance of your Wedding Day has not.  Backyard Weddings and Intimate Weddings are an increasingly popular option, but you can quickly find yourself in the role of venue/event planner.  We are adept at scaling our services to create an intimate experience that rivals a high end venue and will work before and during your big day to seamlessly coordinate the many vendors you’ll need to bring the Wedding Experience home or to a smaller location. Our effort remains the same to ensure that your Wedding Day is as stress free as possible, allowing you to enjoy each and every minute of the day.  Coordination and Full Planning Pricing starts at $2000 for up to 45 people with a Floral Contract and $2500 without a Floral Contract (extra per person charges may apply for over 45 guests). This includes all our services mentioned above.
